Where appropriate, we may also record telephone calls and will notify you in advance. e) Information collected when you use our website and other digital media (if any). When you visit our website, we may log your IP address, browser type, operating system, referring website, and web browsing behavior. f) Information related to social networks: Depending on your social network settings, we may receive information from your social network provider. Specifically, processing may also be carried out for the following purposes: a) Necessary business and administrative procedures with website users and our customers. b) Contacting you for contract negotiations and processing your inquiries. c) In the case of a concluded contract or accepted offer, data is used to process the corresponding services, orders, receipts, and delivery notes, etc. In this regard, your data may be shared with third-party providers; where necessary, we will share your payment data with the relevant financial institutions. d) Sending commercial advertising communications via email, social networks, or any other electronic or physical means, if you have expressly consented to receiving such commercial communications electronically. Under current e-commerce and communications laws, we inform you that the Piab Group does not engage in spam activities and therefore will not send commercial emails via email without the necessary legality. In any case, you can always choose to withdraw your consent to receive our communications. Unless required by legal obligation or regulatory requirements, we will not use your personal data for any purpose other than those stated. You will not be subject to decisions based solely on automated processing that produce legal effects concerning you or similarly significantly affect you.
What is the legal basis for processing?
The legal basis for processing your personal data is the consent you grant to achieve the purposes mentioned above, which will be requested when you request information or by checking the corresponding box on any of our personal data collection forms. In cases where there is a contractual relationship between the user, customer, supplier, or employee and the company, the legal basis will be the contractual obligation generated and, where applicable, the fulfillment of corresponding legal obligations. If you do not provide us with your personal data or do not accept this privacy policy, the Piab Group will not process your personal data, but this may also mean that you cannot receive information about the company’s services or, where applicable, that the contractual obligations between you, your company, and the Piab Group cannot be fulfilled.
How long will we keep your personal information?
The personal data you provide will remain with us to manage the information you have requested from us and to manage the services you have requested from us, or to fulfill any contract generated between the Piab Group and a third party. If we keep your personal data in our database to send commercial information, they will be retained as long as the legal basis necessary to legitimize the processing remains. You may withdraw your consent at any time not to receive commercial information. Once the data have fulfilled the need for which they were collected, we will delete them. However, we will retain your data longer if necessary to fulfill legal obligations. Similarly, it may be necessary to retain them for the periods during which legal liabilities may arise from statute. We generally retain B2B contacts (customers, distributors, or other contacts) for 10 years from the last contact or when the individual requests deletion of their data. Data you provide to us to initiate a selection process will be retained for a maximum of one year. Subsequently, if you do not join the Piab Group or do not participate in the selection process, they will be deleted, and we will not retain copies. Personal data of our employees will be retained for the duration of their employment with the Piab Group and subsequently for the periods established by law.
Security Backups
All production data is deleted according to its respective retention period. For security reasons, even when data has been deleted from our production environment, we may retain it in encrypted backups. In any case, the Piab Group will respect the “right to be forgotten” and our defined retention periods but will not be fully effective until the last backup cycle is complete. To comply with GDPR Article 32, this is not considered a violation of GDPR Article 17. In the event of restoring data from encrypted backups, we maintain a record of deleted data (only anonymous record IDs) to exclude such data from any restored data.
Who has access to information about you?
Only authorized Piab Group employees and distributors have access to personal information. Authorized IT personnel may audit and monitor equipment, systems, and network traffic for security, compliance, and maintenance purposes. For applicants and employees, Human Resources and authorized managers may access and process personal data. Your personal data may be communicated to the following categories of recipients: a) Designated third-party processors, such as IT providers, consultants and advisors, and other companies providing auxiliary services. b) Social media providers, marketing agencies, and fraud detection service providers. c) Entities and public authorities, only for fulfilling corresponding legal obligations. d) Other suppliers, where applicable, to whom your personal data may be transferred, such as financial institutions, insurers, logistics/transport service providers, etc. The data you provide may be included in our database, integrated into the Piab Group’s information system, whose parent company is Piab AB based in Sweden. Therefore, for operational reasons, other group companies may become aware of such data. In any case, all the aforementioned third parties will, under our instructions, have previously signed the corresponding data processing agreement in accordance with current personal data protection regulations and will be bound by professional confidentiality obligations or will comply with legal obligations. How will we use the information about you?
We use information about you to process your order, manage your account, and to email you about other products and services we think may interest you. Use of AI within the Piab Group
The Piab Group is using an AI-based application (Pixie) for two purposes; to write minutes from online meetings on Microsoft Teams and to make extended personal data searches in our HR and CRM systems. When writing meeting minutes, the user will always be informed that the meeting is being recorded by AI and can choose to leave the meeting before the recording starts. The legal basis for using AI to record meeting minutes is “consent”, and the Piab Group will store these minutes in its own storage locations according to our retention policy. If you wish to withdraw your consent, please contact privacyofficer@piabgroup.com, indicating the specific meeting minutes for which you wish to withdraw consent.
When making extended personal data searches, the search will include using AI to find other public information online to supplement the data stored in the Piab Group’s systems located in the EU. For the extended online search, we will only use basic information such as name, company name, and country of residence. This basic information will be transferred to ChatGPT and processed in the USA, then returned to us. All other personal data will be contained within the Piab Group’s systems located in the EU. The legal basis for this processing is our “legitimate interests”, and the Piab Group will store these searches in its own storage locations according to our retention policy. Transfer of Personal Data to Third Countries
In some cases, the Piab Group and/or its subsidiaries may transfer personal data to countries outside the EU/EEA. In these cases, the Piab Group and/or the subsidiary will take the necessary measures to protect your personal data in accordance with applicable requirements, for example, by requiring the recipient to protect your personal data under applicable data protection regulations. Specifically, customer (B2B) data is collected and stored in the central IT system Salesforce. The database is located in the USA (Dallas and Phoenix). Additionally, as mentioned above, we use Pixie and ChatGPT for extended searches, transferring basic personal data to ChatGPT. All our transactions with ChatGPT are stored on OpenAI’s servers. For employees, we have safeguards in place including IT security policies and instructions on HR record storage to ensure your data is kept safe.
Marketing
We would like to send you information about our products and services, and those of other companies in our group that may be of interest to you, based on legitimate interest. If you have consented to receive marketing, you may opt out at a later date. You have the right at any time to stop us from contacting you for marketing purposes or providing your information to other members of the Piab Group. If you no longer wish to be contacted for marketing purposes, please contact privacyofficer@piabgroup.com. Any communications sent will be incorporated into the Piab Group’s information system. If you provide us with your personal data and accept this privacy policy, the user expressly consents to the company carrying out the following activities and/or operations, unless the user indicates otherwise: a) Sending commercial and/or promotional communications responding to your request for information by any means you have provided to us. b) Sending any information, including commercial information about news, events, trade fairs, etc., and all information related to our activity and related to the products purchased or services contracted by our customers. CVs
We only accept resumes (CVs) that you send to us via the “Work With Us” section of our website. If a user sends their CV to the Piab Group, we inform them that the data provided will be processed to involve them in any existing selection process, analyzing the applicant’s profile to select the best candidate for the company’s vacancies. We inform you that we will only accept your CV if you send it to us electronically, so CVs sent or delivered in paper format will not be accepted. If there is any modification to the data, please notify us in writing as soon as possible so we can update your data in a timely manner. We inform you that your CV and the data contained therein will be kept for a maximum of two years (or longer if there is a legal obligation to do so), after which the data will be deleted, guaranteeing complete confidentiality in the processing and subsequent destruction. In this case, after the aforementioned period, if you wish to continue participating in the Piab Group’s selection processes, please send us your CV again.
